Lead Definition
Provides direction and guidance to support staff within a small operating group consisting of one discipline or several closely related disciplines. Directs daily work flow through the operating group. Contributes insight into the planning and development of policies, procedures, operating budget and systems. Assists the supervisor in the implementation and adherence to established policies and objectives; as well as provides technical expertise, guidance and training to lower level support staff. Does not independently hire, evaluate or discipline staff, but may make recommendations regarding hiring decisions and provide input into the evaluation of support staff.

Demonstrates and abides by the Commitment to Care behavior standards. • Schedules all appointments for services in or outside of the Allina system (preferably at time of visit, face to face). • Coordinates other services needed, medical records and/or other pertinent information including patient education materials and directions required for scheduled appointments. • Adheres to documentation standards • Resource for patients/families and providers/staff regarding billing and service questions • Maintains working knowledge of available financial assistance resources within Allina to assist patients/families with medical expenses • Facilitate requests for billing related items such as itemized statements, price estimates • Maintain a basic knowledge of common primary/specialty care clinic procedures, coding, billing and the ability to read and interpret insurance Explanation of Benefit (EOB) forms in order to assist patients/families with billing questions. • Facilitate requests from patients/families and providers/staff regarding to assist in resolution of billing questions/concerns. • Appropriately evaluate and process all incoming calls/correspondence regarding billing issues and service questions. • Adheres to documentation standards • Problem solves to identify and submit resolution to patient/client problems or issues, direct calls to appropriate department for resolution. • Facilitate requests for adjusting accounts within guidelines. • Facilitate requests for updating patient demographics and insurance information. • Follow-up regarding billing and quality of care issues, complaints/concerns. Document all contacts as directed by policy and where appropriate involving quality of care concerns/complaints. • Maintain current knowledge of Patient Bill of Rights and problem solving. Refer quality of care complaints to appropriate department. Recommend account resolution. • Assists with warm transfer to Patient Representatives

Education

High School Graduate or GED. One year post high school education preferred.

Qualification/Skills

Required Qualifications: • Must have either functioned in a Clinic Office Specialist I for 1 year at Allina or 3-5 years experience as a medical receptionist/customer service position • Basic medical terminology knowledge • Demonstrated ability to function with multiple priorities and interruptions • Good prioritization skills, data entry skills, dependable and team player • Flexible with assignments and able to perform a wide variety of front desk functions • Good multi-tasking and critical thinking skills • Outstanding interpersonal and communication skills Preferred Qualifications: • Graduate of a formal training program in medical reception, an equivalent program, or a customer service program or 2 years experience as a medical receptionist/customer service position • Knowledge of organization's purpose and goals • Online scheduling and EMR training (EPIC strongly preferred) • Proven ability to learn job skills and provide patient services • Proven ability to accurately schedule appointments and interpret provider orders • Ability to speak the language of served clients • Able to adjust approaches to reflect developmental level of population served • Ability to work comfortably with a variety of patients and guests • Knowledge of physical, psychosocial and cognitive developmental needs of population served
