- Demonstrates and abides by the Commitment to Care behavior standards.- Welcomes, guides and directs visitors and other customers.- Checks in patients in an accurate, efficient, and timely manner, and professional manner- Captures or completes the registration process in an accurate, efficient, and timely manner- Identifies and accurately collects co-pays or appropriate fees/payments- Provides patient balance and collects payments- Communicate wait times in a diplomatic manner as appropriate- Directs patients to the appropriate care area- Provide patients with appropriate forms, questionnaires, etc- Schedules appointments or procedures in clinic- Cleans and maintains a neat and orderly clinic lobby/patient areas and work areas- Resolves non-clinical patient issues, provides backup and coverage as needed.- Prioritizes between these functions on an ongoing basis to maximize efficiencies of clinic schedules and reduce patient waiting times.- Complete financial reconciliation processes - Complete appointment preparation- Arranges any accommodation or interpreter services needed for the patient visit.- Answers telephone and responds appropriately to the caller- Takes and relays messages requiring follow-up to appropriate individuals- Prepares records and materials for new patient appointments- Maintains knowledge of appointment scheduling practices, policies and procedures - Schedules appointments in an accurate and timely manner- Assists with the clerical duties of the clinic, e.g., faxing information, making copies, etc.- MyChart appt management- Cancel and reschedule appt management- Waitlist management- payment processing/reconciliation- Front desk resource/liaison for patients, providers, staff- Prior authorization- Complex specialty scheduling- Work queuesIncluding but not limited to:- Manage, sort, deliver incoming faxes, records, mail- Opening and closing clinic- Downtime Process Management- Reminder calls- Scanning and indexing- Reporting external agencies - Management of assistance programs (e.g SAGE)- Supply ordering and inventory management

Education

High school or GED required. One year post high school education preferred.

Qualification/Skills

Required Qualifications: • Basic medical terminology knowledge • Demonstrated ability to function with multiple priorities and interruptions • Good prioritization skills, data entry skills, dependable and team player • Flexible with assignments and able to perform a wide variety of front desk functions • Good multi-tasking and critical thinking skills • Outstanding interpersonal and communication skills Preferred Qualifications: • Graduate of a formal training program in medical reception, an equivalent program, or a customer service program or 2 years experience as a medical receptionist/customer service position • Knowledge of organization's purpose and goals • Online scheduling and EMR training (EPIC strongly preferred) • Proven ability to learn job skills and provide patient services • Proven ability to accurately schedule appointments and interpret provider orders • Ability to speak the language of served clients • Able to adjust approaches to reflect developmental level of population served • Ability to work comfortably with a variety of patients and guests • Knowledge of physical, psychosocial and cognitive developmental needs of population served

Work Schedule

  • 32 hours a week
  • Days
  • Regular day hours during clinic hours of 7:00a-7:00p.
  • Position is scheduled to relocate to the Customer Experience Center in Coon Rapids by the end of 2019.

Location/Community Information

The city of Maplewood, located just minutes from downtown St. Paul, is especially noted for two things: Maplewood Mall, a large regional shopping center; and 3M, whose corporate headquarters are located within the community. Maplewood is committed to maintaining its open space, and parks and wetlands, which make up about one-third of its land. This is a well-established community with many housing options and a shared school district with a neighboring community.
