The Surgical Systems Coordinator role exists to support surgical supply requirements by managing the surgery schedule to ensure timely availability of supplies and equipment to meet patient and clinical needs by sourcing new and/or alternate suppliers, while maintaining accurate documentation within Lawson and Excellian systems to ensure correct billing is processed. Monitor surgical cases, coordinate specialty supplies, implants, instrumentation, equipment, and repairs in the Surgical Services Department. Responsibilities include; determining appropriate par levels, requisitioning supplies, coordinating with vendors for specialty products, creating purchase orders (P.O.’s), and ensuring patient charges for these items agree with P.O.’s and inventory usage. Position will work closely with service user areas, Assistant Clinical Managers (ACM’s), Scheduling, Clinical Equipment Services (CES), and Allina Health Supply Chain.
  • Maintain Surgery Schedule to determine cases with approved implant, supply, and/or instrument needs.
  • Determines needs based on case scheduled and confirming with ACMs, reps, and surgeons.
  • Updates Excellian notes regarding the status of needed supplies, equipment and instrumentation.
  • Audits supplies/implants/instruments/repairs to ensure billing corresponds with inventory used and equipment/instrumentation requested to ensure within budget.
  • Audits Excellian logs to confirm agreement between charting of supplies and implants- ensuring patient charges are correct.
  • Resolving on the fly patient charges.
  • Manage inventory to ensure par levels reflect usage. Identify opportunity to reduce par level by running usage data and collaborating with ACM’s taking the appropriated steps for inventory reduction.
  • Customer service level of plus 99.5%. Effective cost analysis, appropriate safety stock, reorder points, ect.
  • Determine need for supply carts based on usage. Inventory and replenish supply carts for nonstock and direct purchase surgical items.
  • Evaluate and adjust inventory requirements, incorporating goals from Surgical Services, Finance, and Materials Management.
  • Maintain, manage, and troubleshoot Lawson for data integrity, maintenance, accuracy of transactions, and accuracy of purchasing/invoicing process.
  • Maintain, manage, and document all recall and alert actions as delineated by safety and quality management.
  • Acknowledge surgical services staff as customers and facilitate customer complaints in a timely and respectful manner.
  • Manage backer orders and sourcing new alternatives.
  • Maintain tissue tracking in accordance with policy guidelines


High School Graduate with experience in the operating room, sterile processing, materials management or Associates degree with 2 years experience in surgical equipment, instruments, and supplies.

Certified Surgical Technologist preferred.


OR experience required. Medical terminology preferred. Order management, receipt and invoices, storage and distribution of surgical supplies and equipment. Evidence of excellence in customers service with hospital staff and external customers/vendors. Perform routine record keeping and problem solving. Attention to details, good communication and interpersonal skills, and ability to handle stress.

  • 2 years operating room experience

Work Schedule

  • 40 hours a week
