  • Demonstrates and abides by the Commitment to Care behavior standards.
  • Welcomes, guides and directs visitors and other customers.
  • Checks in patients in an accurate, efficient, and timely manner, and professional manner
  • Captures or completes the registration process in an accurate, efficient, and timely manner
  • Identifies and accurately collects co-pays or appropriate fees/payments
  • Provides patient balance and collects payments
  • Communicate wait times in a diplomatic manner as appropriate
  • Directs patients to the appropriate care area
  • Provide patients with appropriate forms, questionnaires, etc
  • Schedules appointments or procedures in clinic
  • Cleans and maintains a neat and orderly clinic lobby/patient areas and work areas
  • Resolves non-clinical patient issues, provides backup and coverage as needed.
  • Prioritizes between these functions on an ongoing basis to maximize efficiencies of clinic schedules and reduce patient waiting times.
  • Complete financial reconciliation processes
  • Complete appointment preparation
  • Arranges any accommodation or interpreter services needed for the patient visit.
  • Answers telephone and responds appropriately to the caller
  • Takes and relays messages requiring follow-up to appropriate individuals
  • Prepares records and materials for new patient appointments
  • Maintains knowledge of appointment scheduling practices, policies and procedures
  • Schedules appointments in an accurate and timely manner
  • Assists with the clerical duties of the clinic, e.g., faxing information, making copies, etc.
  • MyChart appt management
  • Cancel and reschedule appt management
  • Waitlist management
  • payment processing/reconciliation
  • Front desk resource/liaison for patients, providers, staff
  • Prior authorization
  • Complex specialty scheduling
  • Work queues

Including but not limited to:

  • Manage, sort, deliver incoming faxes, records, mail
  • Opening and closing clinic
  • Downtime Process Management
  • Reminder calls
  • Scanning and indexing
  • Reporting external agencies
  • Management of assistance programs (e.g SAGE)
  • Supply ordering and inventory management

Education

High school or GED required. One year post high school education preferred.

Qualification/Skills

Required Qualifications:

  • Basic medical terminology knowledge
  • Demonstrated ability to function with multiple priorities and interruptions
  • Good prioritization skills, data entry skills, dependable and team player
  • Flexible with assignments and able to perform a wide variety of front desk functions
  • Good multi-tasking and critical thinking skills
  • Outstanding interpersonal and communication skills
  • Ability to type 20 wpm

Preferred Qualifications:

  • Graduate of a formal training program in medical reception, an equivalent program, or a customer service program or 2 years experience as a medical receptionist/customer service position
  • Knowledge of organization's purpose and goals
  • Online scheduling and EMR training (EPIC strongly preferred)
  • Proven ability to learn job skills and provide patient services
  • Proven ability to accurately schedule appointments and interpret provider orders
  • Ability to speak the language of served clients
  • Able to adjust approaches to reflect developmental level of population served
  • Ability to work comfortably with a variety of patients and guests
  • Knowledge of physical, psychosocial and cognitive developmental needs of population served

Work Schedule

20 hours a week
Days/Evenings

The hours for Urgent Care at this site are as follows

Monday -Friday 8am-8pm
Saturday and Sunday 9a-5p
Holidays 8am-4pm

This position will be required to work multiple shifts
Days 745-215p or 745a-815p
Eves 12p-8 or 145p-815pm
Weekend hours 845-515p
At least one Holiday a year

May be asked to work or fill in at one of the other Urgent Care sites

Location/Community Information

A growing suburb in the Twin Cities metropolitan area, Woodbury is located just 15 minutes southeast of St. Paul, the state's capital. The city is in close proximity to one of Minnesota's largest employers, 3M, and to the St. Croix River Valley, providing a beautiful natural setting and year-round recreational opportunities.
